The View and Manage Work Orders feature in DreamzCMMS allows users to monitor, update, and complete maintenance tasks efficiently. Whether using the web platform or mobile app, this feature ensures technicians and managers have full visibility into work progress, priorities, and task details.


Overview

Work Orders are central to maintenance operations. They contain all relevant details such as:

  • Work order number

  • Status (Open, In Progress, Completed, etc.)

  • Priority level

  • Assigned technician

  • Due dates

  • Asset information

  • Parts and labor records

  • Attachments and notes

The system allows users to filter, update, and close work orders directly, ensuring real-time tracking and accountability.

Before You Begin

  • Ensure you have access to the Work Orders module.

  • Confirm your role allows you to view, edit, or update work orders.

  • Know the filters or criteria you want to apply (e.g., status, due date, technician).

  • Have relevant details ready if you plan to update or close a work order.


How to View and Manage Work Orders

Step 1 — Open the Work Orders Section

Navigate to Work Orders from the dashboard or main menu.
You will see either:

  • A dashboard view (grouped by status)

  • Or a complete work order list page


Step 2 — Filter Work Orders

Use filters to narrow down your view by:

  • Status (Open, In Progress, Closed, Emergency)

  • Facility or location

  • Assigned technician

  • Due date

  • Maintenance type

Filtering helps you focus only on relevant work orders.


Step 3 — View Work Order Details

Click on any work order to open its detailed view.
Inside the work order, you can review:

  • General information (title, description, priority)

  • Assigned technician

  • Due date

  • Asset details

  • Maintenance type

  • Attachments

  • Internal notes

This provides full context before taking action.


Step 4 — Update Work Order Status

To manage progress:

  • Change the status (e.g., Open → In Progress → Completed)

  • Add comments or internal notes

  • Attach photos or documents

  • Record labor hours or meter readings

  • Add or remove parts used

Updates are saved instantly and visible to relevant team members.





 




Step 5 — Close or Complete Work Order

Once the task is finished:

  1. Verify all required checklist items are completed.

  2. Confirm parts and labor entries are accurate.

  3. Update the status to Completed or Closed.

  4. Save changes.

The system records completion details and updates reports accordingly.


 


After Managing Work Orders

  • The work order history is stored for future reference.

  • Reports and dashboards reflect updated status and performance.

  • Asset maintenance history is automatically updated.

  • Supervisors can review performance and task completion timelines.

  • Update work orders in real time to maintain accurate tracking.

  • Use filters daily to monitor overdue or emergency tasks.
