Hello, and welcome to this training session. To start with we will understand why the dispatch calendar Feature is important within FSM software. 


The dispatch calendar in FSM software is essential for efficient job scheduling and resource allocation. It provides real-time updates, enhances visibility, and allows for easy rescheduling. This feature improves customer satisfaction through timely service and transparent communication. It also supports data-driven decision-making and scalability, making it crucial for effective field service operations.


In this video, you'll see a demonstration of the dispatch calendar. To access the dispatch calendar, start by clicking on the field service navigation. Next, click on the dispatch calendar menu to open the calendar view of all jobs.

Initially, the calendar displays today's jobs, but you can easily change to view jobs from previous or upcoming days. You can quickly return to today's view by clicking on "today." The calendar offers three different views: day, week, and month.


You can filter jobs by type and user, and view deleted jobs as well. Color coding helps identify the status of each job, with details available by hovering over the colors. At the top of the calendar, you can see all employees along with their roles. Hovering over a block reveals two buttons: "block this slot" and "add order." Clicking "block this slot" opens a pop-up to schedule a note, where you can enter a title and details, and set start and end dates. The selected user and dates are automatically populated, and you can save the note by clicking "save."


You can update or delete the note, or create a quick job from it. Clicking "add order" opens the quick job creation page. Here, you need to enter the job title, time slot, and description. For existing customers, you can search by name, email, phone number, or address. If the customer is not in the system, you can add a new one. For customers with multiple addresses, you select the job address from a pop-up. 


The customer's billing address will automatically populate, but you can add or change it if necessary. Once all details are entered, clicking "save" creates the job and displays it in the calendar.

Clicking on a job shows a pop-up with general details, tag details, requester details, and options to view the customer details screen, job location, billing address, and assignee. You can add files, links, or notes, and leave comments. You can also reschedule the job, view quotations and invoices, and update the job status by clicking "update status."


For more advanced edits, use the edit section. You can add quotations or invoices directly from the job details screen. Clicking "job details" provides an overview of the job. You can add expenses and see an expense list if any are associated with the job. Color coding in the calendar indicates the job status and highlights any weekly offs for employees. You can use the search function to filter jobs by location, company, or user.


The refresh option allows you to quickly update the calendar view. To add a new job, click "add new." The map view shows jobs on a map. At the bottom of the page, unassigned jobs are listed. You can drag and drop these jobs to assign them to employees. If any scheduled maintenance is created, you can assign it in the same way. Dragging a job to another employee reassigns it. The job change pop-up also allows you to update the job's time slot.
