Scheduling Unscheduled Jobs on the Calendar

The calendar in DreamzCMMS helps you visualize and plan work orders over time. Sometimes work orders remain unscheduled — meaning they don’t have an assigned start or end date. You can quickly schedule these jobs by dragging and dropping them onto the calendar or converting notes into scheduled events. This streamlines planning and prevents tasks from being overlooked.


Overview

Unscheduled jobs are work orders that have been created but not yet assigned to specific dates or scheduled on the maintenance calendar. Using the calendar scheduler, maintenance planners and supervisors can assign dates and times to these jobs by:

  • Dragging and dropping them onto the calendar

  • Adding schedule details like date, start and end times

This technique ensures that open work orders are visible and planned into your maintenance timeline rather than remaining in limbo.

Before You Begin

  • Confirm you have access to the Calendar and Work Orders modules.

  • Unscheduled work orders should already be created in the system.

  • Be ready with scheduling details such as the planned date, start time, end time, and assigned technician (if applicable).


How to Schedule Unscheduled Jobs on the Calendar

Step 1 — Open the Calendar View

Navigate to the Calendar section from the main navigation. The calendar view shows scheduled work orders and provides space to schedule unscheduled work using daily, weekly, or monthly views.


Step 2 — Locate Unscheduled Jobs

Unscheduled jobs typically appear in the list or a sidebar and are marked as unscheduled (they lack a scheduled date or time). This lets you distinguish them from already planned tasks.


Step 3 — Drag & Drop Unscheduled Jobs

To schedule an unscheduled job:

  1. Click the unscheduled job entry in the list.

  2. Drag it onto the desired date slot on the calendar grid.

  3. Drop it on the appropriate day where you want the work to start.

This assigns a schedule to the job without opening the full work order form.


Step 4 — Set Exact Timing

After placing the job on the calendar:

  1. Click the scheduled entry.

  2. Enter or adjust:

    • Start date and time

    • End date and time

    • Assigned technician/crew (if applicable)

These details clarify when the task is expected to be performed.


Step 5 — Save the Scheduled Job

Once all scheduling details are entered:

  • Click Save to confirm the scheduling.

  • The work order moves out of the unscheduled list and appears as a planned item on the calendar.



After Scheduling Unscheduled Jobs

  • The scheduled job will show up on the calendar in the correct date/time slot.

  • Assigned technicians or supervisors can view it on their dashboard or in their mobile app.

  • The work order’s status updates (if configured) to reflect that scheduling has occurred.

  • Plan ahead — schedule jobs before they become overdue to avoid last-minute rushes.
