How to Convert a Calendar Note to a Job

When you add notes to the maintenance calendar to record reminders, observations, or planned tasks, you may later decide some of these notes require formal action. DreamzCMMS allows you to convert a calendar note into a job (work order) so it can be assigned, tracked, and executed like any other maintenance task.


Overview

A calendar note can serve as a placeholder or reminder on your maintenance calendar. If that note represents work that needs to be completed — such as an observation from a walkthrough or a scheduled inspection — converting it to a job creates a work order with all its planning and execution capabilities.

This streamlines your workflow by eliminating duplicate entries and ensures that work arising from reminders isn’t forgotten.

Before You Begin

  • Make sure you have access to the Calendar and Work Orders modules.

  • Identify the calendar note you want to convert into a job.

  • Be ready to enter additional job details (priority, requester, assignees) during conversion.

  • Confirm any asset or location information if the job is linked to a specific asset or facility.


How to Convert a Calendar Note to a Job

Step 1 — Open the Calendar View

Navigate to the Calendar section where your calendar notes are displayed alongside scheduled work orders and events.


Step 2 — Locate the Calendar Note

Find the specific calendar note you want to convert. Notes may appear as colored blocks or annotations on the date/time grid.


Step 3 — Select the Calendar Note

Click or tap the calendar note to open its details. This will display the note title, description, date/time, and any related context entered when the note was created.


Step 4 — Choose “Convert Job”

Within the calendar note detail view:

  1. Look for the option labeled Convert to Job (or similar).

  2. Click this option to initiate the conversion.


Step 5 — Enter Job Details

A job creation form appears, pre-filled with the calendar note’s key details. Complete any additional fields such as:

  • Title

  • Priority

  • Customer

  • Location/Facility

  • Assigned Technician(s)

Step 6 — Save the Job

Once all required fields are filled in, click Save.
The system will:

  • Generate a formal job.

  • Link it back to the original calendar note

  • Update the calendar to show the work order instead of (or alongside) the note

After Conversion

  • The newly created work order behaves like any other job — it can be assigned, tracked, and updated.

  • The calendar reflects the work order instead of just a note, improving planning and visibility.

  • Notifications or alerts may trigger based on work order assignment or status.


Tips for Effective Conversion

  • Use clear, descriptive calendar notes so it’s easy to recognize what needs conversion.

  • Link calendar notes to assets or locations where possible — this minimizes data entry when creating the work order.

  • Review calendar notes regularly to ensure none are overdue for conversion.
