This tutorial guides you through setting up a service agreement price book in DreamzCMMS. You will learn how to configure package details, pricing, and service intervals to manage agreements effectively.



Overview


The Service Agreement section within the Price Book allows you to create structured service contracts with defined packages, pricing amounts, applicable service categories, payment terms, and service frequencies. Once configured and saved, these agreements can be applied to customer accounts to automate recurring service scheduling and billing.

Steps to Configure Service Agreement Pricing


Step 1 – Navigate to Price Book


Click on Price Book to access pricing configurations.



Step 2 – Open the Service Agreement Section


Click Service Agreement to manage service-related pricing packages.



Step 3 – Enter the Package Name


Click the Package Name field and enter a name to identify the service package (e.g., AC Servicing Contract).




Step 4 – Enter the Pricing Amount


Click the Amount field and enter the price amount for the service agreement.




Step 5 – Select and Fill in Service Categories


Select the applicable service categories for the agreement. Available options include Repair, Landscaping, Planning, Maintenance, Inspection, Insurance, Routine Landscaping, Corrective, and Breakdown/Damage. Enter any detailed descriptions or notes for the selected categories.




Step 6 – Access Additional Options and Enter Payment Terms


Click to open the additional configuration options, then enter the payment terms for the agreement (e.g., Every month – Payment after servicing).




Step 7 – Enter the Type of Service


Click the Type Of Service field and enter the service type (e.g., Servicing).




Step 8 – Set the Start Period and Service Duration


Click the Start Period field to define when the agreement begins, then enter the duration of the service agreement in months.




Step 9 – Configure the Service Frequency


Select the frequency number for service occurrences and choose the frequency interval from available options: Daily, Weekly, Monthly, or Annually. Enter any additional details related to the selected frequency interval.






Step 10 – Save the Service Agreement


Click Save to store the configured service agreement details.



Step 11 – Edit and Finalize the Service Agreement


Click the edit option on the saved service agreement to make any necessary changes, then click Save again to finalize and apply all service agreement settings.

  • Use descriptive Package Names (e.g., AC Servicing Contract, Annual HVAC Plan) so customers and team members can instantly identify what each agreement covers.
  • Select all applicable service categories when setting up the agreement to ensure the contract accurately reflects the full scope of services being offered.
  • Define clear payment terms (e.g., monthly payment after servicing) to avoid billing disputes and set proper expectations with customers from the outset.
  • Choose the correct service frequency interval (Daily, Weekly, Monthly, Annually) to match the agreed-upon service schedule, ensuring jobs are triggered at the right cadence.
  • After the initial save, review the agreement by opening the edit view to confirm all fields — especially duration and frequency — are correctly configured before applying it to a customer account.
