How to Filter the Assets List Page

Filter the Assets List Page

The Assets List page filters let you quickly refine and narrow down your asset inventory based on various attributes such as location, product type, status, department, and more. Using filters helps you locate specific assets faster and analyze subsets of your inventory for planning, maintenance, or reporting.

Overview

The Assets List page displays all assets across your facilities, but when you have large inventories, scrolling through all records can be slow. Filtering the list allows you to view only the assets that matter for your current task — for example, all HVAC units at a specific site, or all assets with a particular status.

Here is a reference video:

Before You Begin

  • Ensure you have access to the Assets module in your system.

  • Know the attributes you want to filter by — such as location, product category, serial number, status, department, or other custom fields.

  • Be ready with search terms or values (e.g., part of a name, asset code) that you’ll use in filters.

How to Filter the Assets List Page

Step 1 — Open the Assets List

Navigate to the Assets section and open the Assets List page. This shows all asset records by default.

Step 2 — Locate the Filter Panel

On the Assets List screen, find the Filters or Filter panel (often on the top or sidebar). This area contains multiple filter fields such as location, product type, asset name/code, department, and status.

Step 3 — Apply Filters

  1. Select a filter category — e.g., Location, Product Type, Department.

  2. Enter or choose the filter value — for example, select a specific facility or enter part of an asset name.

  3. Click Apply or simply wait for the filtered results to appear (depending on system behavior).

Step 4 — Combine Multiple Filters

You can refine results further by applying more than one filter at the same time:

  • Select filters for different categories (e.g., Location + Product Category).

  • Each additional filter narrows the result set.

This is helpful when you need highly specific views (for example, assets at Site A that are in Active status).

Step 5 — Clear or Reset Filters

Once you’ve finished reviewing filtered results, you can:

  • Clear individual filters by clicking the “x” next to the filter value.

  • Reset all filters using a Clear All button (if available).

After Filtering Assets

  • The Assets List updates to show only the assets that match your selected criteria.

  • You can export, edit, or perform bulk actions on the filtered result set as needed.

  • Filtering also helps when generating reports or preparing asset audits by focusing only on relevant assets.

Tips for Effective Asset Filtering

  • Use specific search terms for asset names or codes to find items faster.

  • Combine filters wisely — too many filters will narrow results excessively.

  • Save common filter combinations (if the system supports saved views) for repeated use.

  • Use status and department filters to segment assets by operational or organizational needs.

Frequently Asked Questions (FAQs)

1. What can I filter on the Assets List page?
You can filter assets by attributes such as location, product category, department, status, asset name or code, and other custom fields supported by your system.

2. Can I apply more than one filter at the same time?
Yes — you can combine multiple filters (for example, facility and status) to refine the asset list to exactly what you need.

3. How do I remove filters once applied?
To remove a filter, click the “x” next to the filter value. To clear all filters at once, use the Clear All option if available.

4. Will filtering change my actual data?
No — filtering only changes the view of the assets list. It does not delete or modify asset records; it simply displays a subset based on selected criteria.
